Instructions for Submitting Authors

Attention: These are just some general hints on how to use the ConfTool system. Please consider the guidelines of the organizers of your event, as their terms are binding.

 

General

The ConfTool System can be used for handling paper submission, the review process, and participant registration. You have to create a user account in order to use any facilities of the system.

Create a ConfTool Account

Go to the ConfTool login page of your event and follow the "Register new" link under "First time here?". After filling in the required fields of the Web form (marked by asterisk '*'), a confirmation e-mail will be sent to you with your account details. Please provide valid name, address, and email address, since these will be used later for sending you relevant information about your submission.

You do not have to create a new user account for each paper you submit. The same user account can be used for multiple submissions and for participant registration. If you are already a registered user, e.g. as PC member or reviewer, please use that account for your submissions, too.

Login to the ConfTool System

After having obtained a user account, you can log in with your username and password under "Registered Users". If you have forgotten your password a new one can be obtained through the "Forgotten your password?" link.

Depending on the phase of the submission, review, and registration process you will see different options after logging in. If you have already submitted papers, you can always access the list with your submissions and see their status.

For all subsequent operations you need a user account and will have to log in first.

Submit a New Contribution

Select "Submit Contribution" (standard version) or go to "Your Submissions" (pro version) and select the type of contribution you want to submit.

Please enter all required details for your contribution into the submission form (marked by asterisk) and proceed.

If one or more uploads are required for your submission, you have the option to upload these files now. You may also choose to upload the manuscript later. You will also have the possibility to update your submission and upload newer versions until the submission deadline.

A paper number will be assigned to your submission, please use this number for further reference.

Update Contribution Details

Until the submission deadline, you can update your contribution details, upload new versions of the manuscript, or withdraw the contribution. The last uploaded version at the time of submission deadline will be considered for review, unless the contribution is withdrawn.

Viewing the Review Results

After the review process has finished you will receive a message from the chairs by e-mail. The review results will be made viewable to the authors via the ConfTool system. Please go to "Your Submissions" (pro Version) and select "Review Results" for your paper after logging in. There you will see the final outcome of the review and the scores as well as the reviewers' comments.

Upload Camera-Ready Manuscript / Final Version

If your contribution was accepted you usually get the option to submit a final version of your contribution. Please consider the review results from the experts for that version. The final version has to be "camera ready", i.e. it must use the conference template and follow the submission guidelines otherwise it will not be published in the proceedings.

You will also use the ConfTool system to upload the final version of your contribution. Further details will be provided by the conference chairs.

Register for Conference Participation

For each accepted paper at least one presenting author has to register for conference participation, otherwise the contribution will not be considered in the conference proceedings.

For most events,  participant registration is also handled via the ConfTool system. If you already have an account you can do so by clicking on the "Register as Participant" link. This option gets available, as soon as the conference program is set. You will get an according message from the conference organizers.

 

Instructions for Reviewers and PC Members

Attention: These are just some general hints on how to use the ConfTool system. Please consider the guidelines of the organizers of your event, as they might prefer a different process.

General

The ConfTool system allows to submit and review conference contributions. It is usually also used for participant registration. You have to obtain a user account to use any facilities of the system.

As a reviewer or member of the program committee (PC member), you will usually get an invitation by e-mail with your login details. The conference organizers will setup the basic account data and your user role for you. Please use this account for all further accesses to the ConfTool system.

Login to ConfTool

After having received your account data, please go to the main ConfTool page and log in with your user name and password under "Registered Users". If you have lost either, it can be obtained through the links right of the login text fields.

After first login, please select "Personal Data / User Data" to update your personal account details. Please use this opportunity to enter a new password, as you (probably) got the initial password by e-mail. Click "Submit User Data" to save your changes.

Depending on the phase of the submission, review and registration process, you will have different options after logging in. If you plan to submit a contribution, please use this account for your submissions as well, as it simplifies to detect conflicts of interest.

For all subsequent operations you have to be logged in.

Select Priority Topics

As reviewer or member of the program committee, you are usually requested to state your areas of expertise. Please use the link "Select Priority Topics" from the overview page to select your main topics of interest. This information will help the conference chairs to assign contribution matching your interests. It is therefore important for the quality of the review process.

Bidding Phase

(Optional, ConfTool Pro only.)

After the submission deadline, you will be contacted by the conference organizers and get the opportunity to "Bid for Contributions".

Please log in and select the according link from the overview page. You see a list of all submitted contributions of the conference (or of the contributions of your conference track). Here you can select submissions you would favor to review and state what submissions are probably not covered well by your areas of expertise.

Please also use this function to state personal "conflicts of interest", i.e., mark those contributions you cannot review objectively (e.g. you were involved in the research project, or you are affiliated to the authors).

It is recommended to take part in the bidding process, as it strongly increases the chance that papers will be assigned for review to you, that match your interests. Please consider that you usually cannot refuse a submission assigned for review afterwards.

How to Enter Reviews

Based on the reviewers' fields of interest and their biddings, the chairs will assign submissions to the reviewers. After the assignment they will send an e-mail with details on and deadlines of the review process.

To access the contributions assigned to you for reviewing, please log in to your ConfTool account and select "Edit Reviews". Here you can access the abstracts of the contributions and download the manuscripts.

After reading the contributions, please enter your review result (using your Web browser) into the provided online forms. There are categories to score each contribution. You may use the print option of ConfTool and your Web browser to print out abstracts and review forms. Please note that different submission types (e.g. papers vs. posters) may have different review criteria and forms.

Please save your review in time, since there is a session timeout (usually 2 hours), after which unsaved modifications will be lost. You can update your review at any time before the deadline.

Reviews will not be made visible to authors until the review process is finished and the final acceptance status has been decided by the chairs based on all evaluations.

Program Committee Online Forum

ConfTool Pro also offers an online forum to discuss the contributions and the review results. This forum will usually be made available after the review process. You can leave comments on all contributions and reviews that are still undecided, as they for instance got ambiguous ratings by different experts.

Register for Conference Participation

Reviewers and PC members are expected to attend the conference. Please use your exisiting ConfTool account to register for conference participation as soon as the registration process has been started.
